What it is

An invisible secretary that sits in your meeting

Otter.ai is a tool that joins your video calls as a participant, transcribes everything in real time, identifies who is speaking, and automatically generates a summary at the end. Think of it as a digital stenographer: while you focus on the conversation, it notes every word — and afterwards you can search any excerpt by text, without listening to the entire recording. It works with Zoom, Google Meet, and Microsoft Teams, and has a free plan to get started.

Why it matters

The interview that used to take 2 hours to transcribe

A journalist who records a 40-minute interview used to spend between 1 and 2 hours typing it out word by word. With Otter.ai, the transcript appears while the conversation is still happening.

≈ 5 min

That is how long Otter takes to process and deliver a complete transcript of a 40-minute interview — with speakers already separated by name and a summary generated automatically.

In your day

Who uses it and how

Journalist

Records the interview via Zoom with the bot active and receives the transcript with speakers already identified. Searches the text field to find a specific quote without listening to the entire audio. Saves hours of typing per story.

Team manager

Turns on the bot before the daily standup. By the time the call ends, Otter has already delivered the summary with decisions and responsible parties. Share the link — whoever missed it gets up to speed in 2 minutes.

Consultant / Freelancer

Imports the recording of a client meeting and uses "Ask Otter" to find the moment when the scope was defined. Documents agreements without relying on memory or notes.

Step by step

From zero to your first transcript

// interface checked in June 2026 — if any button is missing, use Otter's internal search or consult help.otter.ai
  1. Create your account at otter.ai

Click "Sign Up" in the upper right corner. You can sign in with a Google account or create one with email. The Basic plan is free, no credit card required.

  2. Connect your calendar

In the left sidebar, look for "Apps" or "Integrations". Authorize Google Calendar or Outlook so Otter automatically sends the bot to every scheduled meeting.

done once — works for all future meetings
  3. Add Otter to an ongoing meeting

From the home screen, click the button that launches the Otter Meeting Agent and paste the call link (Zoom, Meet, or Teams). The bot joins as a participant and starts recording and transcribing.

  4. Record directly through Otter (optional)

For in-person interviews or phone calls, use the mobile app (iOS and Android): tap the record button and Otter transcribes microphone audio in real time.

useful for journalists in the field or consultants in face-to-face meetings
  5. Follow the live transcript

Text appears on screen as people speak, with each speaker's name automatically identified when possible.

  6. Access everything in "My Conversations"

After the meeting, open the "My Conversations" section in the left panel. The full transcript is there — use the "Ask Otter" field to ask questions about the content or search for a specific quote by keyword.

A ready-made prompt for "Ask Otter"

Paste this into the "Ask Otter" field right after a transcribed meeting:

prompt List the 5 most important decisions made in this conversation, in order of relevance. For each one, indicate who said it and at what timestamp. At the end, list all action items mentioned and who is responsible for each one.

Otter AI Chat responds in English. You can follow up with "translate your answer to Portuguese" (or your preferred language) and it will translate the entire summary.

Honest review

What works and what has limits

Best practices

  • Connect the calendar before you need it — the bot joins all scheduled meetings automatically, without you having to remember.
  • Use "Ask Otter" to find a specific quote by keyword — much faster than re-reading the entire transcript.
  • Share the transcript via link with people who missed the meeting — it works in the browser, no Otter account needed.

Real limitations

  • The free plan cuts off after 30 minutes per meeting — on long calls, the transcript stops mid-conversation without warning.
  • Audio file imports are limited to only 3 files (lifetime) on the free plan — after that, an upgrade is required.
  • Otter does not officially support Portuguese transcription — expect errors with proper nouns, technical terms, and non-English accents.

Challenge · 5 minutes

Put the bot in your next meeting

In your next work call — whether it is 15 minutes or more —, add Otter.ai as a participant and let it run. Afterwards, open "My Conversations" and read the automatic summary.

You succeeded if Otter correctly identified at least one speaker's name and you found an important decision in the summary without re-reading the entire transcript.

First, a warning

The point that decides if Otter is for you

3.2

3.2 out of 5

Let me start with what matters most for Brazilians, because it changes everything: Otter does not transcribe Portuguese. Only English, Spanish, French, German, Japanese and simplified Chinese. If your meetings are in Portuguese — like most here — it simply doesn't do the job. That brings the score down, and it's fair that it does. Because in English, Otter is excellent: a bot that joins the meeting on its own, live transcription, identifies who spoke, summarizes and even lets you ask 'what was decided?'. In other words: brilliant for anyone working in English, useless for anyone meeting in Portuguese. If that's your case, jump to Fathom, which summarizes in Portuguese.

Tested and checked against official sources on July 2, 2026.

What it does well (in English)

  • Live transcription as people talk, with speaker identification — in supported languages.
  • The bot joins Zoom, Google Meet and Microsoft Teams automatically once you connect your calendar.
  • Otter AI Chat lets you ask anything about the meeting and answers in the language you ask.
  • iOS and Android apps (plus desktop) record in-person meetings or interviews via your phone's microphone.

Where it lets you down

  • Does NOT transcribe Portuguese: only English, Spanish, French, German, Japanese and simplified Chinese.
  • The free plan caps fast: 30 minutes per conversation, 300 minutes a month.
  • Dollar-only pricing (Pro at US$ 16.99/mo standalone), no plan in reais.
  • Interface, summaries and support entirely in English — no Portuguese version exists.
Is it for you?

Who Otter makes sense for

Worth it if you…

  • attend work meetings IN ENGLISH: a remote team at an international company, calls with foreign clients.
  • are a journalist, researcher or student doing interviews or attending classes/lectures in English.
  • are a consultant or salesperson serving clients abroad and want to document what was agreed in English.

Not for you if you…

  • meet in Portuguese — that is, most Brazilians: transcription doesn't support Portuguese.
  • want to transcribe already-recorded Portuguese audio (a WhatsApp voice message, a recorded class, a podcast): it won't do it.
  • have long meetings (an hour or more) and don't plan to pay: the free plan cuts transcription at 30 minutes.
The way out for Portuguese

Better alternatives (that speak Portuguese)

Since Otter doesn't transcribe Portuguese, for most Brazilians the answer is right here. Fathom records and summarizes meetings in Portuguese, and Whisper transcribes Portuguese audio with top-tier quality. The options:

Fathom

How much does it cost

Otter's prices (in dollars)

There's a free plan (300 minutes/mo, cut at 30 min per conversation) — but remember that, in Portuguese, none of it transcribes. Prices are all in dollars.

Basic

US$ 0 — 300 min/mo, max 30 min per conversation. Only supported languages (Portuguese not included). No card.

Pro

US$ 16.99/mo (US$ 8.33 annually) — 1,200 min/mo, up to 90 min per meeting. In dollars.

Business

US$ 30/user/mo — unlimited meetings, up to 4h per meeting. In dollars.

Enterprise

by quote — SSO, compliance and API.

Reminder: price is dollar-only and the interface is entirely in English. And again: it doesn't transcribe Portuguese. Official prices as of July 2026.
